Operational privacy notice
IDL Academy is operated by TBA, LLC to coordinate international distance learning. This notice describes the data handled by the portal; participating universities and external providers maintain their own responsibilities and policies.
Information collected
The portal stores account names and email addresses, role and institution assignments, optional academic background, selected programs, course progress, submitted evidence, funding requests, consent choices and sponsorship coordination records. Do not submit card numbers, bank credentials, provider passwords or unrelated sensitive information.
Who can access information
Students can access their own records. Authorized staff at the responsible university can review linked academic evidence and make academic decisions. Sponsors see consented learner aliases and funding needs; accepted sponsors see aggregate progress or contact email only when the student explicitly permits it. Sponsors cannot download transcripts or evidence through the portal.
Security and optional services
Passwords are hashed. Login sessions are server-side, and privileged accounts require two-step verification. Uploaded academic evidence is encrypted and served through authorization checks. Production evidence uploads require private storage and configured malware scanning. Optional AI analysis sends academic course and requirement text, not student records, only when an authorized reviewer requests it. Email delivery depends on the operator configuration.
Cookies and sharing
The portal uses essential session, form-security and interface-language cookies. No advertising or third-party analytics scripts are included. External course provider links lead to separately operated websites.
Access, closure and retention
Use Account to export personal records or submit a privacy request. Account closure is separate from deletion of academic records. The coordinator and responsible university must determine applicable retention obligations and document their decision. No automatic deletion of official academic evidence is promised. Consent changes stop subsequent sponsor access to the affected information but cannot retract information already received.
